AT ERP App Privacy Policy
How the AT ERP mobile app collects, uses, shares and protects information.
1. About This Policy
This Privacy Policy applies to the AT ERP mobile app for Android and iOS (the “App”), published by Ankit Traders, Saharanpur, Uttar Pradesh 247001, India (“Ankit Traders”, “we”, “us”). The App is the mobile companion to Ankit Traders Solution, a CRM, ERP and HRMS platform that businesses run on their own server. This policy is separate from our website Privacy Policy, which covers only this website.
2. Who Controls Your Data
The App is for employees and authorised users of organisations that use Ankit Traders Solution (“your employer”). Your account is created by your employer; there is no public sign-up.
- Your employer decides what data is collected and why, and is the data fiduciary (data controller) for the business data you enter in the App.
- The App connects only to your employer's own server. Data you enter is sent to and stored on that server, not on servers owned by Ankit Traders.
- Ankit Traders provides the software. Where your employer has engaged us for hosting, installation or support, we may access their server only to provide that service and only on their instructions.
Your employer's own privacy notice or HR policy may also apply to you.
3. Information the App Collects
Depending on the modules your employer has enabled and your role, the App may collect:
- Account and profile information — name, employee ID, username, designation, department, branch, phone number and email address.
- Sign-in information — your employer's server address and a secure session token. Your password is sent to your employer's server to sign in and is not stored in plain text on the device.
- Precise location — when you punch attendance, log a customer visit or follow a beat plan.
- Background location — only if your employer has enabled field tracking and you have agreed on the App's consent screen. It is collected only while you are on duty (between check-in and check-out, during working hours) to record field routes and visits. See section 5.
- Camera and photos — a photo at attendance check-in and check-out, photos of business cards, receipts for expense claims, and photos attached to visits, service jobs or complaints. Photos are taken only when you choose to take or attach one.
- Business card details — names, phone numbers, emails, company names and addresses of the people whose cards you scan. Text is read from the card on your device; the card image is not sent to any third-party text-recognition service. The details are saved as a lead on your employer's server.
- Customer and business records — leads, opportunities, quotations, orders, customer visits, daily reports, service complaints, jobs, AMC, machine and spare-part details, and approvals that you create or act on.
- HR information — attendance, leave, expense claims and payslips. Payslips and salary details are shown to you from your employer's server; they are not shared with Ankit Traders.
- Device and diagnostic information — device model, operating system version, App version, and error logs, used to keep the App working and to fix problems.
- Notification token — if you allow notifications, a device token so your employer's server can send you alerts, such as a pending approval.
The App does not access your phone's contact list, call logs, SMS messages or microphone, and it does not collect payment card information.
4. How the Information Is Used
- To sign you in and show the modules and records your role allows
- To record attendance, with photo and location as proof of presence
- To record customer visits, field routes, beat plans and daily reports
- To capture leads and manage sales, service, expense and approval workflows
- To show you your own attendance, leave and payslip information
- To send you work notifications
- To keep the App secure, prevent misuse, and diagnose and fix errors
The App contains no advertising. Your data is not sold, rented or shared for advertising or marketing, and it is not used to build advertising profiles.
5. Location Data
Before the App asks for location permission, it explains on its first screen why location is needed and asks for your agreement. You can then allow or deny the permission in your phone's settings.
- Foreground location is used when you punch attendance or log a visit.
- Background location is used only for attendance and field tracking during working hours, after check-in and until check-out, and only if you have agreed. It is not used outside working hours.
- You can stop background tracking at any time in the App or by changing the location permission in your phone's settings. Some attendance or field features may then not work, and your employer may ask you to record attendance another way.
6. Sharing of Information
Information collected by the App is shared only:
- With your employer, through their own server, and with colleagues and managers according to the role-based permissions your employer sets (for example, a manager approving your expense claim).
- With Ankit Traders, only where your employer has engaged us for hosting or support, and only as needed to provide that service.
- With platform notification services — Google Firebase Cloud Messaging on Android and Apple Push Notification service on iOS — to deliver notifications. They receive a device token and the notification message.
- When required by law, or to protect the rights, safety and security of users, employers or Ankit Traders.
7. Data Storage and Security
- Data is sent between the App and your employer's server over encrypted HTTPS connections.
- Access is protected by your username and password, and by role-based permissions set by your employer.
- Data kept on your device, such as cached records and your session, is stored in the App's private storage and is removed when you sign out or uninstall the App.
We take reasonable technical measures to protect information, but no method of transmission or storage is completely secure.
8. Data Retention
Business and HR data is kept on your employer's server for as long as your employer's policies and applicable law require. Because AT ERP is a company ERP system, records are kept even after your account is closed, so they are available for audits, accounting, tax and legal compliance. After your account is closed, these records are used only for those purposes and for nothing else. Data stored on your device is deleted when you sign out or uninstall the App. Diagnostic logs are kept only as long as needed to fix problems.
9. Your Rights and Choices
- Access and correction — you can view much of your information in the App. Ask your employer to correct anything that is wrong.
- Permissions — you can allow or withdraw camera, location and notification permissions at any time in your phone's settings.
- Account deletion — you can ask for your App account to be closed. Your account is permanently disabled and no further data is collected; records already created are retained by your employer only for audit and legal purposes. See Delete Your Account.
- Withdrawing consent — under India's Digital Personal Data Protection Act, 2023, you can withdraw consent you have given, such as for background location. This does not affect processing already done.
10. Children
The App is for employees and business users. It is not directed at children, and we do not knowingly collect information from anyone under 18.
11. Changes to This Policy
We may update this policy from time to time. Changes will be posted on this page with a new “Last updated” date. If a change is significant, we will also tell you in the App.
